Follow these exact steps to successfully (and enjoyably!) plan your trip!

10 Steps To Planning A Perfect Trip

1. Stay Organized: Have A Master Trip Planning Document

It is essential to stay organized while planning your trip to ensure it is well-structured, efficient, and enjoyable. The best way to do this is to have a centralized document with all information related to your trip, including a budget tracker, itinerary details, transportation/accommodation details, and a packing list.

Make it your first step to create this document for your trip-planning process. Then, during the next steps, you will add your notes and potential options of destinations, accommodations, transportation, etc. to this document to keep you organized. After all steps are completed and you make your final decisions, you can then create a new version of the document with the final details of the trip.

2. Travel Purpose: Identify The Reason For Your Trip

After you feel organized and ready to dig into the meat of the trip-planning process, you have to ask yourself your first big question – why are you going on this trip? This question provides the framework for your next decisions, from destination to budget to activities to accommodations. Whether it is a relaxing vacation, an adventure-filled journey, a cultural exploration experience, or a specific celebration, the reason for the trip ensures that every aspect of your travel experience aligns with your goals and desires, resulting in a more fulfilling and tailored trip.

3. Financial Plan: Setting A Budget

Setting a clear budget when planning a trip is essential as it ensures your trip aligns with your financial capabilities. Having a budget helps you make informed decisions on accommodations, activities, dining, travel logistics, and more, preventing overspending and financial stress during your trip. It can also help minimize the limitless options during planning as you can set filters based on your budget and have more of a clear eye as to what to focus on.

When I set my budget for the year, I allocate a certain amount for my travels. Then, when I start to plan my trip I decide on the percentage I want to use of that full-year travel budget based on the purpose of the trip and what other trips I foresee that year.

Donโ€™t sweat if your budget is not looking ideal at first. This is your time to start saving extra money to increase that budget! Leading up to the trip, cut back on expenses such as eating out or streaming subscriptions. Itโ€™ll be worth it for those extra dollars to use on your trip!

4. Determine Timing: Setting Duration And Dates

The next big questions are how long do you have for your trip and when will you be going on your trip? Determining the duration and dates of your trip is a critical planning step as it sets the boundaries for your itinerary, activities, logistics, and destination. Whether it is a weekend getaway or an extended adventure, deciding on the duration of the trip helps you make the most of your time, and setting the dates allows you to identify the time of the year for your trip, both making sure your experience is practical and fulfilling.

5. Determine The Perfect Travel Destination

Now for the biggest question – where do you want to travel to?! Luckily, your answers to the previous questions will help narrow this down. You have already determined the reason for your trip, your budget, how long you have, and when you want to go. Are you looking for a beach vacation to escape the winter? Do you want to embrace the winter and go skiing? Do you have a couple of weeks and want to travel somewhere far, or do you just have a weekend and need a short flight? All of these considerations should help you decide where you want to go!

I keep an ongoing list with my bucket list destinations, the duration needed for those trips, and the best time of the year to visit. Then, when I am planning my next trip, I take a look at this list and narrow it down based on those factors for the specific trip.

Make sure to do research on the destinations such as when the best time to visit is, climate, language, currency, time zones, visa/entry requirements, local laws, common cuisines, and local customs/traditions to ensure the destination makes sense to travel to based on your travel desires/abilities. Use WikiVoyage and Lonely Planet for information regarding plenty of destinations.

6. Sort Out Travel Logistics

Now comes the most difficult part of the trip-planning processโ€ฆbut itโ€™s actually my favorite part! There is something about figuring out the travel logistics that feels like a puzzle I need to solveโ€ฆ just me? Well, this is why Iโ€™m here to help!

Travel logistics include all transportation to/from the destination as well as the transportation needed throughout your trip. Let me start by saying if you are flexible on dates and times, this will be a much easier process. However, most of us are constricted on these. So, I will say you may need to sacrifice your budget, preferred airline, or desired departure/arrival times.

For flights, use Skyscanner and Google Flights to help find dates and times that work for you. Both of these tools allow you to easily search multiple airlines, easily changing dates. Make sure to pay attention to the travel time and any time zone changes. My preferred airline is Delta, and Southwest is my second favorite, but I do know that based on my criteria I sometimes have to sacrifice my airline choice to get better pricing and timing.

For transportation throughout your trip, research the destination to determine the best mode of transportation. For example, in some destinations, you will need a rental car (my go-to car rental is Enterprise), or you will be taking trains, ferries, or short flights (use Rome2Rio for any of these needs).

7. Figure Out Accommodations

To start the process of finding your accommodations, you will need to choose from luxury, mid-range, or budget hotels, apartments/houses, campsites, or hostels. All options depend on your desires, budget, and what is available in your destination. I often start with a map of the destination and determine the location I want to be near. By answering those first few questions, you can narrow down the search based on the type of accommodation, budget, and location.

8. Crafting The Adventure: Creating A Perfect itinerary

This is the fun part! You will have to do a lot of research on your destination, but you will be reading and hearing about all these exciting things you will do on your trip! It really gets your heart racing and the anticipation for your trip to begin heightens.ย 

I have planned many trips and rely on Pinterest and travel bloggerโ€™s guides/itineraries. One of the reasons I wanted to start a blog is that I rely so heavily on other bloggers when I plan a trip so I want to provide similar help to others.

Additionally, utilize WikiVoyage and Lonely Planet for research about the destination, Get Your Guide for tour ideas, Trip Advisor for first-hand experiences/recommendations, AllTrails for hiking, and Eater for restaurants.

Research

During your initial research phase, donโ€™t try to overthink it. 

  1. Pin or save any article that aligns with your destination that looks helpful, so you can come back to it later. Putting these links in your master travel planning document is extremely useful!
  2. Also in your travel planning document, list all of the attractions, cuisines/dining options, and recommendations you are seeing that interest you.
  3. After you have a long list and your brain has plenty to run with, start researching each item individually to come up with a narrowed-down list of everything that you want to do, see, and eat. Make sure to note the approximate time you would need to allocate for each item.
Crafting the Itinerary

Now that you have your list of items, you need to craft your itinerary in a way that makes sense based on location, timing, and availability. 

  1. Utilize Google Maps so you can determine the locations of each item. Group the places and activities by location so you can do those on the same day
  2. Based on the location and amount of time the items will take, start to lay out the days by morning, afternoon, and evening. Consider that some attractions are best visited at certain times of the day, such as popular tourist destinations will be less busy in the mornings, or a viewpoint may be better at sunset/sunrise.
  3. Donโ€™t plan every detail: Trust me, I love planning detailed itineraries! But, itโ€™s always good to leave room for unexpected adventures. Instead, plan out your days with ample time for each activity so you are not rushed and can stumble upon or get a localโ€™s recommendation for other activities, places to see, or dining options. 
  4. Have a list of extra restaurants, activities, etc. that you do not include in your detailed itinerary so you have additional items if needed throughout your trip.

9. Sealing The Deal: Book Every Aspect

Now that everything is decided on, the final step is to book everything! I like to do this all at once to keep me organized so I donโ€™t forget anything. Additionally, I make sure all of these items are included in my master planning travel document. These include all travel logistics, accommodations, and reservations for tours or restaurants. 

10. The Countdown To Your Adventure: Sit Back, Relax, and Wait For Your Trip

Some would say this is the easy part, but for me, the anticipation for the trip builds up and my excitement goes through the roof! After spending so much time researching the destination I cannot wait to embark on my journey!
